Bookings are made on a first come, first served basis, and registration must be completed to secure your slot. Please read the birthday party policies prior to registering.

Multipurpose Room Package $185

All the fun is packed in the Multi-Purpose Room! Includes a small bouncy castle, plasma cars, bouncy toys and toys. Ideal for children aged 3 and under, but up to 5 years old is allowed. This package is for approximately 15 children and 35 adults, for a total of 50 guests. 30 minutes for set-up and clean-up. Please note this package does not include any Gymnasium time. $100 deposit is required at time of registration.

Gymnasium Play-Gym Package Room $210

All the fun is packed in the Gymnasium for this package. Ideal for older children (up to 8 years of age) , our play gym area includes a large bouncy castle, plasma cars, toys, soft blocks, and sports equipment. This package is for approximately 70 guests (25 kids and 45 adults) but up to 100 guests is the maximum (30 kids and 70 adults). Two tables are set-up for food and gifts, and four tables are set-up for eating. 15 minutes for set-up and clean up. $100 deposit is required at time of registration.

Policies

SET UP AND CLEAN UP

  1. The party group may not enter the party space before the agreed upon time. They should take into consideration the time they require for set up and clean up and include this in the party time. A party group may not stay longer than the agreed times.
  2. In addition to the party time, 15 minutes is scheduled to set-up and clean-up for Gymnasium parties, and 30 minutes for set-up and clean-up for Multi-Purpose Room parties.
  3. The party group must report to the staff at the start and end of party period. All participants in the party must follow the directions of the staff on shift, who is in charge of the building.
  4. All decorations must be taken down at the end of the party. No piñatas allowed, and all balloons must be popped and discarded prior to leaving. Packing tape and duct tape removes paint and damages the walls; painter’s tape only.
  5. Table covers are required for each table. They may be purchased at $1.50/table (8 guest/table) on the day of if you wish (white coloured table covers are available).
  6. The party group is held responsible for the clean-up of all food items in the party. The party group must leave the space clean and tidy and on time (or the damage deposit will be held).
  7. The party group is held responsible for the disposal of any helium tanks. If any helium tanks are left behind after the party, there will be a charge of $25.00.
  8. Be mindful of your clean-up time. If you anticipate needing more time to clean-up, end your party a little earlier. Parties are booked back-to-back so delays have a ripple effect on other parties and staff schedule. Any delays may result in a forfeiture of your damage deposit.

FOOD POLICY

  1. The party group may not cook food on the premises. The party group may not bring in heating equipment of any kind to use on the premises.
  2. The party group may use outside caterers to serve food on the Centre’s property during the party.
  3. There is no kitchen access. Freezer and refrigerator are not available. Please bring a cooler or icebox as needed.
  4. No alcohol or any substance containing alcohol may be brought in to or consumed on the premises.

OTHER TERMS

  1. The full damage deposit of $100 may not be returned if any of the terms or policies are not abided and complied to. Damage deposit may take up to 2 weeks to be returned if applicable.
  2. Third-party contractors for mascots/characters, face painters and balloon twisting is allowed, and must adhere to the birthday time and cannot come earlier or stay later. All other contractors are not approved.
  3. The party group should not exceed the maximum number of 50 people (Multi-Purpose Room Package) or 100 people (Gymnasium Package).
  4. Smoking is not permitted anywhere in and/or on the grounds of Thunderbird Community Centre, as per the City of Vancouver by-law.
  5. A party group found to be in breach of this agreement may be asked to leave the premises and forfeit all payments made.
  6. Cost of repairing any damage to the Centre or equipment caused by any participant in the party, including the cost of extra janitorial services will be charged to the party group.
  7. As of January 1st, 2020; the City of Vancouver has banned the usage of Styrofoam products. Hence, we respectfully ask patrons to not use it within our facility. For more info: https://vancouver.ca/green-vancouver/single-use-items.aspx
  8. If you require any modifications to your booking, please email Thunderbirdcc@vancouver.ca to request any changes.
  9. There are NO TIME EXTENSIONS. Parties are held back to back and we cannot accommodate any extensions. For extended parties, please book two parties back-to-back.

REFUND, TRANSFERS AND CANCELLATIONS

  1. There will be an administrative charge of $25 applied to all refund requests and $4 to all transfer requests. Refunds will only be granted if provided at least 7 days prior to the party. If the request is not received by the office 7 days prior to the party date, a refund will not be issued.
  2. Parties may only be transferred up to two times within the same season.
  3. Thunderbird Community Centre reserves the right to cancel a party, when necessary. In this event, the payee will be fully refunded.
  4. Thunderbird Community Centre reserves the right to place your activity in equal or better facilities if the room is required in unexpected circumstances.

Frequently Asked Questions

  • Birthday parties are held back to back, therefore extensions are not possible. Pending availability, consider booking two birthday party packages on the same day, back-to-back, if you would like to extend.
  • Yes – you can put up decorations and helium balloons, however; only painter’s tape may used to put up décor and balloons must be popped and discarded before leaving the premises. Piñatas are not allowed.
  • Be aware of the total time you have to set-up and clean-up and adjust the amount of decorations accordingly.

  • You are able to purchase plain white table covers for $1.50/table. If you need them on the day of the party, we can subtract the cost of the table covers from your damage deposit.

  • Yes! When you arrive 15 minutes prior to your party time, we will have all the tables and chairs set up for you. (MP Room packages have 30 minutes of set-up and clean-up time – please check your receipt for details)
  • Be mindful of the time you end your birthday party. If you think you need more time to clean-up, end your party a bit earlier. Any delays will result in forfeiture of your damage deposit.
  • Yes – you can book back to back parties.
  • Be sure to check the dates/times of multiple bookings. Requests will any refunds will incur a $25 refund administrative fee.
  • Thunderbird Community Centre accepts credit (Visa, Mastercard, AMEX), debit and cash.
  • When booking online (www.vanrec.ca), credit card is the only option.
  • There is a $100 deposit fee in addition to the party fee which is returned assuming all rules and policies have been followed.
  • Please allow up to 2 weeks for damage deposit to be refunded.
  • Yes, you can drop off table covers up to a week in advance at the Front Office. Please include a note with the package that includes the child’s name, the date of the party, and the time slot.
  • No, food cooking is not allowed on premises, and the party group may not bring in heating equipment of any kind.
  • There is no access to a fridge. If you are bringing in an ice cream cake, we suggest putting it in a cooler.
  • There will be an administrative charge of $25 applied to all refund requests and $4 to all transfer requests.
